How to write tutoring session notes (with a template)

A practical ten-minute method for writing notes right after a one-to-one lesson, so next week starts where this week left off and the parent gets a clear line.

Write your tutoring session notes in the ten minutes right after the lesson ends, using the same fixed fields every time: what you covered, what the student got on their own, what you still need to reteach, the homework you set, and one plain sentence a parent can read. Keep the whole note to a single screen. A note you can finish in ten minutes is a note you will still be writing in week twenty, and that consistency is what actually moves the student forward.

Why the ten minutes after the session matter most

The detail worth keeping fades fast. An hour after the lesson you will remember that you did quadratics. You will not remember that the student factored the first three problems cleanly and then froze the moment the leading coefficient stopped being one. That second sentence is the whole point of a note. It tells next week's you exactly where to start.

So the rule is simple. Write the note before you stand up, close the laptop, or open the next student's file. Not that night. Not on Sunday with a cold cup of tea and four lessons blurred together. Write it while the student's exact wording is still in your ear.

Ten minutes is the ceiling, not the target. If a note regularly takes longer than that, it is too detailed to keep up, and the first genuinely busy week will be the last week you write one. A short note you write every single time beats a careful note you write twice and then abandon.

The nine things a good note captures

Every note uses the same nine fields, in the same order, for every student. Sameness is the feature here. When the shape never changes, your eyes know where to look, and writing turns into filling blanks instead of composing prose from nothing.

The three that keep you organised

Student, subject and level, date and length. These sound trivial until you are tutoring nine people across four subjects and a parent asks what you did on the 12th. Write the level, not just the subject. "Maths" is useless six months later. "Year 10 higher tier, algebra unit" tells you where the student actually sat. Logging the length matters too, because it is the first thing anyone checks against an invoice.

The three that drive the teaching

What we covered, what stuck, what to reteach. These three do the real work. "What we covered" is the plain topic list. "What stuck" is anything the student did correctly without your help, because that is the ground you can build on next time. "What to reteach" is the specific thing still shaky, described precisely enough that you could open on it cold, without re-reading anything else.

The three that carry the relationship

Homework set, parent-facing line, next session focus. Write the homework with its due date inside the note itself, so there is one source of truth if the student or a parent asks later. The parent line is one plain sentence a parent could read without you translating it. The next-session focus is a small promise to your future self about where to begin.

How to write the parent-facing line

This is the field tutors skip, and it is the one that renews the booking. A parent paying for private tuition almost never sees the lesson itself. The single sentence you write is often the only window they get into it. Make it honest, specific, and readable by someone who does not know the subject.

A good parent line does three things at once. It names something real that went well, it names the current focus without sounding an alarm, and it reads like a person wrote it rather than a form.

Priya is much quicker on two-step equations this week and got through the whole homework set. We are now working on the sign rule for negatives, which is the usual sticking point at this stage, and she is close to it.

Notice what that line does not do. It does not say "great session" and leave it there. It does not hide the weak spot. It does not use a word the parent would have to look up. A note on privacy: keep session notes factual, and write as if the student or a parent could one day read them. If you tutor minors, that habit is also your protection.

What to leave out

Notes get abandoned when they turn into transcripts. You do not need a minute-by-minute log of the hour. Leave out the following.

  • Anything you would clearly remember without writing it down.
  • Your private read on the student's home life or personality. Keep the note to the work.
  • Long stretches of praise. One specific win is worth more than three generic ones.
  • Grades you have not actually marked yet. Write "to mark" and move on rather than guessing.

Turn last week's note into this week's first five minutes

The note only pays off if you read it before the next lesson. Open last week's "reteach" and "next focus" lines while the student is settling in. Now you begin with "last time the negatives tripped us up, let us do two of those first" instead of "so, what shall we look at today." Students notice when you remember. Parents notice when the tuition has a direction rather than drifting week to week.
