Report structures
The business coaching session report.
A business coaching report separates what was discussed from what was decided. The four sections are wins, insights, commitments and next focus, and the commitments are the ones the client will be asked about in two weeks.
A founder books a coach because there is nobody else to think out loud with, and the risk is that thinking out loud is all that happens. The difference between a coaching relationship that renews and one that quietly stops is whether anything changed in the business between sessions, and the only evidence either party has of that is the last report.
01The four sections
The four names this kind of work gets, and nothing to fill in.
- 01Wins
- 02Insights
- 03Commitments
- 04Next focus
You are not choosing this from a gallery. You answer one question when you sign up and these four become the shape every The written page a client receives after a session: what was covered, what went well, what they agreed to do, and what is next. comes back in. Any of them can be renamed, added to or removed, and your version is what you get from then on.
02A finished report
Not a blank table. The document, written out.
Invented client: Nadia, founder of a nine person agency, session 4 of 10, monthly.
- Wins
- Held the price on the renewal she expected to discount, and the client signed anyway. Wrote the first job description she has ever written before hiring rather than after.
- Insights
- She has been treating every discount as a relationship decision rather than a margin decision, and said the quiet part herself: she discounts when she has not spoken to the client in a month. The discount is buying back the silence.
- Commitments
- One client call a month with no agenda and no invoice attached, starting with the two accounts she has not spoken to since March. Take the next discount request to the accountant before answering it.
- Next focus
- What she is actually afraid of when a client goes quiet, and whether the agency's cash position makes that fear rational.
Every person, session and number above was written for this page. No real client is shown. The four section names are not samples: they are the sections the product fills in today.
03What clients ask for
Three things the reader of this report is actually looking for.
- A record of what was decided, separate from what was discussed, because only one of the two is a task.
- Something they can forward to a co-founder without rewriting it.
- A way to see, after six months, whether the same problem keeps coming back under different names.
04What goes wrong
Four mistakes, and each one costs a renewal rather than a mark.
- Minuting the conversation. A founder who wanted minutes would have recorded the call themselves.
- Coaching advice in the report. If it was not said in the session it does not belong in the record of the session.
- Commitments the client did not actually agree to, which is the fastest way to lose a founder's trust.
- No date on anything, so the next session opens with both parties trying to remember what the plan was.
05How it gets written
Five steps, and four of them take no time at all.
-
01Record the session
Record on a phone, a laptop or the call software you already work on, with everybody in the session having agreed out loud first.
-
02Upload the recording
Upload the file when the session ends, or paste a transcript if your call software already made one.
-
03Read the draft
The draft comes back in about a minute, in the four sections: Wins, Insights, Commitments, Next focus.
-
04Correct it
Change anything that is wrong and add anything the recording missed. Nothing goes anywhere until you have done this.
-
05Send it
It goes to the client under your own name and stays on their own page with every report before it.
